Treat routine attention as part of the work plan
Have the equipment proposal state supplies, cleaning and the contact for service problems. Describe site entry and any periods when a supplier cannot approach. The person supervising the crew should know the agreed position and how to keep that access workable.
Review the arrangement at a phase change
When attendance rises, the work area moves or dates extend, discuss whether quantity and service need adjusting. Confirm the rental end and collection process with the business. A project update shared among trades does not automatically reach the equipment supplier.
The receiving plan and the routine visit
Separate receiving the equipment from maintaining access to it. The receiving contact needs the approved entrance and placement plan; later service visits may occur while other contractors control that entrance. Explain both situations when requesting the rental.
Before agreeing a visit, identify working hours, any required site induction and the person who can authorise access. Ask the provider to assess the approach rather than assuming that room for a cabin means room for its vehicle. Confirm collection arrangements as the project demobilises.
Keep a brief change log for entrance hours, site contact and scheduled work near the units. Share relevant changes with the supplier rather than assuming the original delivery instructions remain sufficient.
