Explain the time between uses
List active dates, attendance and who remains on the property between them. Ask how cleaning and supplies will be handled if facilities stay in place. A programme that runs intermittently should not be described as continuous daily use if that changes the practical arrangement.
Keep responsibility clear as organisers rotate
Retain one set of order and access details and identify who can approve a change. Confirm added sessions, cancellations and final collection with the rental business. Do not assume an amended programme automatically changes visits already agreed with the supplier.
Who has access when there is no programme running?
Name the person responsible between sessions and record the agreed service-entry arrangement. A volunteer who only attends the public activity may not be available for an intermediate visit. Explain planned closed days before the service schedule is accepted.
