Distinguish a programme from a continuous worksite
List the active dates and quiet periods, including whether the venue remains accessible between sessions. Explain attendance changes and who manages the property when an organiser is absent. Service should be discussed around that real pattern instead of a generic season length.
Keep the contact consistent across sessions
If volunteers or staff rotate, maintain a single set of order and access instructions. Ask how additional dates, cancellations and supply changes are handled. Confirm revisions with the rental contact; a change in the programme should not leave an agreed visit unexpectedly locked out.
The operating calendar and the closed days
Show the operating calendar, including gaps. A facility used only during scheduled sessions is different from a continuously occupied site, and access between those sessions still matters. Explain who controls the property when the public activity is closed.
Review the facilities before the next period of use rather than assuming the previous arrangement still fits. Attendance, nearby amenities and organiser responsibilities may have changed. Agree supplies, washing and service for the upcoming schedule, including how unexpected changes will be communicated.
Prepare a simple calendar with active dates, gaps and the contact controlling access. A volunteer rota may change every session, but the rental instructions should remain accessible to each person taking over.
